*Job Title:* Program Support Specialist *General Description:* The Program Support Specialist works collaboratively with multiple programs to coordinate activities, events and assists with the administrative support needs of the program.
They also assist with data management needs for maternal child home visiting with the primary responsibility for database operations, maintenance, and standard reporting.
This position enters participant intake, service and outcome indicators that support project implementation.

0 FTE) *Supervision Received:* The Maternal Child Health Home Visiting Supervisor *Supervision Exercised:* None *Supervision Essential Job Functions:* * Administrative: * • Coordinates logistics for the routine program and other stakeholder meetings including scheduling locations, providing information to attendees and capturing outcomes and next steps.
* • Maintains records of program contacts and event registrations, attendances, and evaluation forms.
* • Assists with preparing monthly activity reports, evaluation updates, and other program documentation.
* • Attends events and engages with community stakeholders regularly to maintain relationships and gather knowledge or resources related to the program goals and objectives.
* • Designs visual representation of data analysis for use with presentations and reports.
* • Coordinates travel, timekeeping, p-card reports, ordering supplies and assists as needed with office support needs.
* Continuous Quality Improvement (CQI) & Quality Assurance * • Assists with documentation of performance improvement activities using the Plan-Do-Study-Act cycle.
* • Prepares quality assurance reports for field staff to ensure performance measures are met.
* • Provides training for data management procedures for all staff as appropriate.
* Data Management * • Maintains database.
* • Ensures that data is stored meeting all data security and safety standards, including working with CNDH Privacy Officer to ensure all standards are met.
* • Identifies and resolves database issues related to performance and capacity.
* • Runs reports to provide programmatic reporting.
* • Maintains data dictionary as well as data entry and verification processes.
* All other duties as assigned *Minimum Qualifications* *Knowledge, Skills, and Abilities:* *Required* - • Self-motivated with the ability to learn independently.
*Required* - • High level of attention to detail and ability to follow through on responsibilities.
*Required* - • Knowledge of HIPAA and privacy rules for security regarding family information.
*Required* - • Excellent time management skills.
*Preferred* - • Demonstrated experience with database utilization preferred.
*Preferred* - • Ability to understand data system user requirements and data entry principles.
*Required* - • Strong written and oral communication skills with demonstrated knowledge of grammar, spelling, and punctuation required.
*Required* - • Ability to develop and effectively maintain interpersonal relationships.
*Required* - • Must be able to manage stress appropriately, manage multiple priorities, and make decisions under pressure.
*Required* - • Maintains professional behavior and demonstrates good oral and written communication skills, including telephone, email, and face-to-face interaction.
*Required* - • Ability to receive direction and respond positively to feedback in the workplace.
*Required* - • Ability to take, capture and prepare meeting minutes.
*Education:* *Advanced Preferred* - Preference is given for any higher education coursework or Administrative Assistant Certification.
*Education Note:* Administrative Professional Certification to be completed within one year of hire.
*Training And Experience:* *Required Training* (6 months - 3 years) - Minimum of 2 years working in an office-based environment with reporting requirements.
*Required Training* (6 months - 3 years) - Demonstrated experience working with data entry.
*Required Training* (6 months - 3 years) - Experience working in a deadline-driven environment.
*Required Training* (6 months - 3 years) - Demonstrated expertise and experience with typing and computers including Microsoft Suite required.
*Licenses, Certifications, Other:* *Required* - Valid and unrestricted Oklahoma driver’s license required.
*Required* - Administrative Professional Certification within one year of hire.
*Physical Requirements:* *Required* - Must be able to lift up to 25 pounds.
*Required* - Requires manual dexterity, grasping, standing, stooping, bending, sitting, walking, repetitive motions, listening, hearing, and visual acuity tolerant of prolonged computer use.
*Work Environment:* • Work is performed in an office-based setting that at times might include the ambulatory care environment.
There may be common exposure to contagious diseases.
• Must be able to travel on occasion to the participant's residence or other community settings.
• Occasional alternate schedule outside of business hours for special events on evenings and weekends.
