This position maintains high levels of knowledge and expertise regarding access to sponsor accounts and serves as a resource for ORS staff and others regarding financial conflicts of interest.
The incumbent interprets regulations, rules, and policies regarding sponsor requirements for proposal submission websites and portals, as well as those for new and continuing awards.
They may also assist with basic training of new ORS staff.
This position requires critical thinking skills, problem recognition and problem-solving ability, independent analysis, strong attention to detail, and keen organizational skills.
The incumbent shows demonstrated organizational skills, with a command of job duties and workflow.
Effective communication skills are a key to a successful career in Research Administration.
The position requires an ability to communicate in a positive tone, clear and concise messaging (in both oral and written communication), and the ability to balance compliance with customer service.
This position may be eligible for a hybrid remote schedule after training has concluded.
*Typical Functions May Include:* * Manages access and troubleshoots problems regarding access to sponsor portals and websites, while maintaining credentials database.
Tracks required financial conflicts of interest disclosures/training.
* Develops/updates tools and resources within the office for use by other ORS staff and OU researchers.
* Provides technical advice for and problem resolution of investigators and departments on research administration.
* Recommends changes to documents/agreements to accommodate changing regulations/policies in consultation with management.
* Interprets sponsor RFPs and communicates to investigators and departments.
* Responds to inquiries from principal investigators and the Grants & Contracts Administration concerning interpretation of the provisions of awards.
* Partners with sponsors to facilitate the exchange of information and resolve requests for information related to proposals and externally funded grants and contracts.
* Reviews and updates information pertaining to changes made to federal regulations, specific agency requirements, and procedures.
* Maintains ongoing communications regarding grants and contract administration with investigators and departments * Performs various duties as needed to successfully fulfill the functions of the position.
* Processes actions related to proposal submission and award activity to ensure accurate and timely administration of sponsored projects, and that actions are consistent with applicable laws, regulations, sponsor requirements and Institute policies and procedures.
* Assists with research-related training for both departmental staff and researchers across campus, and tracks financial conflicts of interest disclosures and required training.
Job Requirements--- *Required Education and Experience:* Bachelor's degree, *AND:* * 36 months experience in sponsored program administration or related experience in an academic institution for higher education or research environment.
*Equivalent/Substitution:* Will accept 48 months of sponsored research experience in lieu of a Bachelor's degree for a total of 84 months experience.
*Skills:* * Proficient in Microsoft Office, Zoom, and other frequently used document-sharing applications such as Dropbox * Detail-oriented for accuracy of data and information * Setting priorities, completing deadlines, and making administrative procedural decisions * Highly organized and able to manage multiple projects and deadlines * Able to communicate well and build rapport quickly with students, faculty, and staff * Strong initiative to solve problems * Customer service * Ability to work both independently and with interdepartmental teams on various initiatives * Proficient professional writing skills for drafting correspondence, summaries, and other required reports *Certifications: *None *Advertised Physical Requirements:* * Must be able to engage in repetitive motions and communicate effectively.
* Frequent exposure to pressure caused by deadlines and busy periods.
* Ability to communicate, including expressing oneself or exchanging information with others.

*Departmental Preferences:* * Preference for Certified Research Administrator (CRA) * Preference for 4+ years of experience in research administration * Preference for general working knowledge of 2 CFR 200 * Previous experience with OU systems, particularly Cayuse * Knowledge of Office of Management & Budget (OMB) Uniform Guidance and National Science Foundation (NSF) Grants Management Policy as it relates to sponsored projects * Work in a fast-paced, team-oriented, higher educational institution environment or similar * Superb customer service skills, using independent judgment, in a team environment, including working with faculty, administrators, accountants, and external agencies.
