*Executive Assistant (Temporary)* The University of Oklahoma is hiring an Executive Assistant.
This exciting position has an opportunity to touch all campuses, Norman, Oklahoma City, and Tulsa.
In Norman, OU’s undergraduate population is slightly more than 20,000, giving students a major university experience in a private college atmosphere.
The OU Health Science Center (OUHSC) is one of only three comprehensive academic health centers in the nation with seven health profession colleges, NCI Cancer Center designation, and both an adult and pediatric Level One Trauma Center.
OUHSC serves approximately 4,000 students in more than 70 undergraduate and graduate degree programs.
The vision of OU Tulsa is to build a nationally recognized center of higher education excellence in select areas that emphasize strong campus community partnerships and leverage unique opportunities and needs in the Tulsa region.
The Executive Assistant provides support in a one-on-one working relationship, helping to provide seamless support across the campuses.
The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Office they serve.
The Executive Assistant also serves as a liaison to the Board of Regents/Executive Offices at the University and the Senior Management Team, organizes and coordinates executive outreach and external relations efforts, and oversees special projects.
The Executive Assistant must be creative and enjoy working within an environment that is mission-driven, results-driven and community oriented.
The ideal individual will have the ability to exercise good judgment in a variety of situations, with a strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.
The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.
*Essential duties:* * Provides professional administrative assistance and performs office management duties.
* Writes and edits emails, drafts correspondence, and prepares communications on the executive’s behalf.
Responds to inquiries concerning standard information and policies and procedures.
* Organizes meetings and events, including scheduling, preparation, sending reminders, and coordinating logistics as needed.
* Manages the day-to-day operation of the office.
* Serves as a liaison to internal and external staff, faculty, and administration.
* Assists in budget administration.
* Oversees record management including maintaining confidential records and information, electronic, and paper files).
* Handles purchasing activities and human resources responsibilities for department.
* Schedules appointments, coordinates meetings, and maintains appointment calendars.
* Prepares travel requests and expenses.
* Plans, coordinates and oversees special activities or projects.
* Researches, collects, and analyzes data or information.
Prepares written reports or presentations.
* Performs related duties as assigned to successfully fulfill the function of the position.
*Required Education: * Bachelor’s degree *Equivalency/Substitution:* Will accept 48 months of administrative assistance, support and/or management experience in lieu of the Bachelor’s degree.
*Skills:* * Proficient in Microsoft Office * Highly organized and able to handle multiple projects and deadlines * Able to communicate well and build rapport quickly with students, faculty and staff * Able to work well with interdepartmental teams and initiatives * Demonstrated attention to detail critical * Composition and proofreading skills *Advertised Physical Requirements:* * Must be able to engage in repetitive motions and communicate effectively.
May be required to bend, lift, stoop and carry.
*Department Preferences*: * 18-24 months Experience as an executive assistant * *Special Instructions:* If you are selected as a final candidate for this position, you will be subject to The University of Oklahoma Norman Campus Tuberculosis Testing policy.
