\*\*\** *Job Description:* The Senior Student Program Coordinator for the Data Science and Analytics Program (DSAI) in the Gallogy College of Engineering will function as the sole staff support for the program.
The individual hired for this position will build a strong community with regular, open communication among students, faculty, and staff.
This individual will facilitate admissions, enrollment, assessment, scheduling (courses and meetings), and support for the DSAI program.
*Program Administration Includes:* * Course scheduling.
Build semester schedules working with program, faculty, and classroom management.
Coordinate with faculty and classroom management to post classes offered each semester.
Monitor course schedule for accuracy.
* Text book adoption.
Work with faculty to ensure text books are adopted for each semester.
* Maintain student files.
Create and maintain electronic student file for all DSA students, including application, program of study, advisory conference reports, withdraw notifications, research topic and committee forms, advising notes, and all other relevant information.
* Maintain enrolled student tracking database to provide real time view of program status.
Database should include, but not limited to, enrolled hours, GPA, core courses completed, current enrolled courses, and thesis or non-thesis track.
* Maintain applicant tracking database to track applications as they are submitted, track incomplete applications, or missing items.
Work with each applicant to complete their application.
* Assemble data and prepare annual Program Assessment Report for the DSA program using the TracDat system.
* Prepare administrative reports and data collection for Co-Directors of the DSA program as requested.
* Assist with the preparation of program modifications and changes in Courseleaf.
* Coordinate conferences and DSA Advisory Board meetings.
Including room reservations, agenda and slideshow preparation, refreshment, travel, and incidentals.
* Provide suggestions and implement website content updates.
* Other duties as assigned.
*Budgeting Includes:* * Ensure faculty and student GA appointments are processed in a timely and accurate manner.
* Budget tracking and reconciliation monthly *Recruitment Includes:* * Provide initial contact and proper guidance to all prospective students interested in the DSA master's certificate, dual and accelerated programs.
Coordinate all correspondence and procedures as per the admissions office, international student services office, and the graduate college.
* Process all applications and prepare them for review by the faculty committee.
Input admission decisions in the CollegeNet system.
Reach out to admitted students with a welcome email that includes advising and enrollment information, program contact details.
* Prepare and plan on campus information sessions, attend off campus recruiting events.
* Monitor, edit and update program website and social media (Facebook, Linkedln and lnstagram) to ensure information is current and correct.
*Student Services Includes:* * Manage all academic affairs of graduate students in the DSA program * Advising – work with program director(s) and students to plan and prepare their program of study.
* Enrollment - ensure students enroll in correct sections.
* Graduation - work with students to complete graduation application according to deadlines.
* Thesis Defense - work with students to file for thesis defense, assist with room booking and advertising of defense.
* Withdraw requests - ensure students complete correct paperwork and support program director(s) in necessary communication with the Graduate College.
* Verify international student requirements.
* Assist current students, director(s), faculty, staff, and prospective students to solve problems as they arise.
* Assist in Spring and Fall graduation ceremonies.
*Job Requirements:* *Required Education:* * Bachelor's degree, *AND:* * 12 months in student programming, student services, or closely related experience*.
* *Equivalency/Substitution:* * Will accept 48 months related experience in lieu of the Bachelor's degree for a total of 60 months experience.
*Skills:* * Proficient navigating and maintaining databases * Proficient in MS Office * Strong initiative to independently solve problems * Able to work well with interdepartmental teams and initiatives * Must be able to read and interpret policy as well as State and Federal regulations * Written communication and proofreading skills *Advertised Physical Requirements:* * Sit for long periods of time.
