Job Title: Assistant Bursar Department: Bursar's Office Reports To: Bursar FLSA: Exempt SUMMARY: The Assistant Bursar is responsible for the timely reporting of the Title IV funds, adjustments to the student billing system, collections, posting of Financial Aid, student account credit balance refunds, and all phases of the Bursar’s Office.
Reports directly to and provides support for the Bursar.
Answer all student account/billing questions from students, parents, faculty, staff, etc.
, while focusing on quality customer service to those clients being served.
Position will be trained to cashier and will know all aspects of the cashier system.
Responsible for scholarship billing and balancing of accounts.
Responsible for the office budget.
ESSENTIAL DUTIES AND RESPONSIBILITIES:• Manage student receivables, providing analysis and collection follow-up as necessary • Implement manual adjustments to student accounts • Reconcile all registers and report Advice of Deposits in the OSF Core System • Handle all phases of posting of Financial Aid, including scholarships, to student accounts • Handle all phases of processing student account credit balance refunds • Handle all phases of Touchnet • Reconcile online student payments • Oversees the return refund check and uncashed refund check processes • Handle all aspects of collections • Assist the Bursar in the implementation, updates, etc.
, of the Student Account/Billing System • Know all rules and administration of Federal Title IV Aid • Know all rules of the return of Title IV Aid • Know and use all policies and procedures of the Oklahoma State Regents of Higher Education, the Regional University System of Oklahoma, Oklahoma’s Promise, State of Oklahoma Warrant Intercept program, Office of State Finance and Oklahoma State Treasurer’s Office, as it relates to the Bursar’s Office functions • Serves as the designated department contact for Veteran Programs • Maintain current knowledge of Housing, Financial Aid, Admissions, and Records, etc.
, as it relates to the Bursar’s Office functions • Develop and document processes to adapt to new technologies or policies • Provide quality customer service to everyone served in the Bursar’s Office • Attend professional development activities as needed • Operate a cashier window as needed • Other duties as assigned by the Bursar KNOWLEDGE AND SKILLS: • Ability to communicate effectively and appropriately • Detail-oriented, able to use initiative and resourcefulness and have the ability to work independently in a fast-paced, multi- task environment • Ability to work under time-sensitive deadlines with minimal supervision • Familiar with accounting and cashiering procedures • Strong analytical and reconciliation skills • Good organizational time management skills • Ability to deal effectively with internal and external customers; show consideration of others, listen effectively, establish and maintain relationships, is a self-starter, adaptable and creative thinker • Ability to operate office equipment (i.
e.
copiers, fax machines, 10 key, etc.
) • Solid computer skills, particularly with Excel and MS Word, and the ability to learn and use a variety of software programs and to analyze data • Ability to work in a fast-paced environment and work efficiently under the pressure of deadlines without immediate supervision • Ability to work nights and/or weekends when required EDUCATION AND EXPERIENCE: • Bachelor’s degree required • Previous related work experience, preferably in higher education highly desired • Ellucian software system or related management information system experience highly desired PHYSICAL DEMANDS: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
